Space only exhibitors are responsible for their own stand design and construction, and appoint their own contractors. No stand fittings or carpet provided by the Organisers on space only sites. All space only stand designs must approved by xxx before exhibitors will allowed access to the site and permitted to commence build. 

No multi-level / double decked stand and hanging of banners or other decorative items is allowed. 

It is the responsibility of the Exhibitors to examine the area and site allocated to them in order to avoid costly adjustments to stand structures. Where possible the Organisers will provide on request detailed stand plots indicating the position of service ducts and pillars. Minor obstructions or height restrictions cannot always indicate on the plans of the exhibition.

Stand fitting regulations contained within this section must observed when planning stand design and layout. We are pleased to offer advice and guidance where required. Please feel free to contact xxx team with any enquiries.

Please note the Organisers have the rights to reject any stand plan that they deem to be:

  • Structurally unsafe
  • Considered too complex to completed in the time specified
  • Does not conform to the specifications listed in the manual
  • Likely to unreasonably affect nearby exhibitor’s sites in any way
  • The wall and tower with more than the maximum meter in height
     

Stand Construction Rules and Regulation
Exhibitors are obligated to submit the stand design and get approval from both the Organisers and official standfitting contractor xxx prior to the build-up period. 

The detailed stand design and drawing should include :

  1. Plan view, showing clearly all dimensions, walling and major exhibits
  2. Elevation views, showing clearly all dimensions, graphics, etc
  3. Structural calculations / drawings proving structural stability, weight loadings, etc
  4. Details of materials and fire protection
  5. All design proposals should be in a recognised scale of not less than 1:50
     

This should be emailed on or before 18 August 2023, in either .pdf or .jpeg formats to both emails to operations team

In order to avoid any violation of the provisions and also misinterpretation as well as to avoid the associated with the safety and comfort of other participant, which is caused by the installation of stand design and exhibition facilities, each exhibitor must submit a copies of the following document:

  • Layout plans for the display of goods and exhibition facilities
  • Horizontally and vertically picture of each item (layout, front view, side view, and perspective) with accuracy and clarity of perspective along the dimension of each goods position. Each image imprinted company name/brand, hall and stand number layout.
  • If the exhibitor plans to change the design, then the revised design must be returned to the Organisers for approval at least 14 Days prior to the build-up period. No major structural changes will be permitted to the stand once approval has been given
  • Exhibitors will be allowed for check in and access during the set up period if all payments due to the Organisers have been cleared. Any additional order charges must be paid maximum before the closing of the event on 22 September 2023 noon. 
  • Exhibitors and their contractors must comply with the event working hours, rules and regulations.
  • Exhibitors are responsible to ensure that all their employees, contractors and service providers are well aware of the event rules and regulations and to comply with them.
  • Exhibitors must be present at their stands to receive delivery of exhibit goods shipped by the freight forwarder. The Organisers will not accept or receive any deliveries on Exhibitors behalf. 
  • Exhibitors must occupy the space allocated to them during schedules specified above. In the event the exhibitor fails to do so, they shall be deemed to have cancelled their stand space booking and the Organisers shall be entitled to resell, reallocate or close up such stand space and the provisions of paragraph above relating to cancellation charges shall apply. 
  • Sharing or transfer of stand space is absolutely not permitted without prior written consent from the Organisers.
  • Exhibitors acknowledge that they shall only be entitled to use contractors other than the official standfitting contractors appointed by the Organisers (or where the organisers have provided a Shell Scheme package) to build their own stand, with the prior written consent of the Organisers. 
  • Full details of any Shell Scheme package provided by the Organisers will be provided on request. Plans for specially built stands or displays, other than those constructed from any such Shell Scheme package, must be submitted by the Exhibitors to the Organisers for approval before construction is ordered. 
  • It is strictly prohibited for Exhibitors (or staff members working on behalf of exhibitors) to display or distribute any material (in any form) from any other areas other than within the boundary of their stand. This restriction also applies to the gangways surrounding your stand. If in the opinion of the Organisers, the exhibitor’s stand or display extends beyond their allocated space, the Organisers may at its sole discretion charge the Exhibitor for the extra space so occupied at the prevailing rate. 
  • Exhibitors should exhibit products which are in line with the Exhibit Profile list of GESS Asia 2023and as declared in the Product Information form of this manual. Exhibitors are responsible to ensure their exhibits have fulfilled all necessary approvals and licenses and that they are not in infringements of any trademark, patent or intellectual property rights.  
  • For safety and security reasons, Exhibitors not allowed to build up or decorate their exhibits in a manner which would in the opinion of the Organisers obstruct the light or impede the view along the open spaces or gangways of the exhibition or cause inconvenience to or otherwise affect the displays of any other Exhibitors. 
     

Stand Design Layout Regulation
Stand Partition/Wall

  • Minimum space between exhibition hall wall to stand partition is 0.5 metre.
  • Exhibitor with more than 2-open-alley must design as an open-sided-wall.
  • Exhibitor with Island stand (4 open-alleys) isn’t allowed to build massive walls which surround at a distance of 1-metre zone of the line marking. Island stand only allowed forming the building just in the middle of the stand
     

Floor Covering 

  • Plywood underlay and carpeting are required for stand that contains heavy objects that may damage the existing floor.
  • Any booth construction for Special Design should not be built directly on the existing carpet or granite, but has to be protected by a multiplex before commencement of the build-up period.
     

Hall Structure 

  • No part of the structure may extend beyond the boundaries of the space allocated 
  • No suspension may be made from the ceiling of the exhibition hall nor fixed floor, walls or any other part of the building without the approval of the Organisers and the Official Contractor.
  • The outer surface of Space Only stand construction must be covered and decorated if visible from the aisles. No nails, tacks, screw, pins, adhesives or devises of any description likely to deface or damage walls, floors, furniture and furnishing are permitted
     

Tower and Massive Wall
Tower is not allowed to be attached to another partition or wall stand. Minimum distance tower with another partition or wall stand is 0.5 meter

Violation of the maximum height stand on the field or not in accordance with the proposed design will stand the cutting height on the ground either by contracting each of the exhibitors or by the official contractor appointed by the Organisers.

Enclosed Space/Warehouse 

  • Confirmed space is allowed if only used as a storage warehouse
  • Enclosed space can only be built to maximum 30% of the total stand area
  • Organisers reserves the right to move the position of the confined space if it violates the rules stand
  • Warehouse must be closed in all sides and in the compulsory making locks, padlocks for mounting 1 piece of the participants
     

 Heavy Vehicle Inquiry During Up and Dismantling Regulations
In order to avoid a build-up of entry around the exhibition site, each exhibitor must park the truck based in the area that has been set by the Organisers

Important note:

  • The cost of repair or replacement of damaged equipment or damage to the venue walls, floors or ceilings will be charged to the exhibitor
  • Any damages caused by the exhibitor, its staff, agent or representative on floors and walls in the venue area will be the responsibility of the exhibitor and will be charged at USD 350 + 10% per 2.60 sqm.
     

Enclosed Stands
The inclusion of large enclosed areas within a stand can only be permitted with prior written permission from the Official Standfitting Contractor – xxx, please also refer to ‘Walling in on Open Sides’.

Dividing Wall
On divided sites, Exhibitors are responsible for erecting and decorating side and back walls facing onto their stand areas. Walls above the height of a neighbouring stand must be clad and decorated on both sides. Such walls overlooking adjoining stands must be finished in a white plain color only. 

Walling in on Open Sides
Long runs of walling along open perimeters of stands are not permitted. 

Only 50% of any open side is permitted to be a solid wall. Where long runs of walling are present along open sides, they must be relieved by display items and not left in plain colours – if perimeter walling is more than 1m high, it must not occupy more than 50% of any one side. If long runs of walling are essential and over 50% of the length, they must be recessed by 0.5m from the perimeter of the site and will be subject to written approval by the Organisers.
